This Privacy Policy explains how JW Business Solutions, LLC, referred to as “we,” “us,” or “our,” handles information through the MindFrame Focus & Billing desktop application, referred to as “MindFrame” or the “Application.”

MindFrame is a privately developed Windows desktop application used solely for the internal business operations of JW Business Solutions, LLC and its authorized personnel. It is not sold, licensed, distributed, or offered to the general public.

This Privacy Policy applies to MindFrame. It does not replace any separate privacy policy governing the business website on which this page is published.

1. Overview

MindFrame is designed to:

• Track time spent performing business services
• Maintain local time and billing records
• Support internal productivity and focus workflows
• Import authorized customer, service, class, company, and related reference information from QuickBooks Online
• Create manually reviewed TimeActivity records in an authorized QuickBooks Online company
• Maintain separate QuickBooks Sandbox and Production profiles
• Preserve local audit, revision, synchronization, and duplicate-prevention information

MindFrame does not operate as a public cloud service and does not maintain a hosted MindFrame customer database.

2. Information MindFrame Processes

MindFrame processes only the information needed to support its internal productivity, timekeeping, and QuickBooks billing functions.

Information Entered Into MindFrame

This may include:

• Customer or client names
• Service names and descriptions
• Hourly billing rates
• Session dates
• Actual time worked
• Billable time
• Time-rounding information
• Billing notes and descriptions
• Classes or related billing references
• Billable or nonbillable status
• Application settings and preferences
• Audio and workspace preferences
• Revision and void information
• Synchronization status

Information Obtained From QuickBooks Online

When the user authorizes a QuickBooks Online connection, MindFrame may access:

• QuickBooks company name
• QuickBooks company or Realm ID
• Customers
• Products and services used for time entries
• Classes or related references when enabled
• Employee, vendor, or other name references used for TimeActivity records
• TimeActivity records created or verified through MindFrame
• QuickBooks record identifiers needed to prevent duplicates and maintain an audit trail

MindFrame accesses only the QuickBooks company specifically authorized by the user.

QuickBooks Connection Information

MindFrame may process and store:

• Intuit Client ID
• Intuit Client Secret
• OAuth access tokens
• OAuth refresh tokens
• QuickBooks Realm ID
• QuickBooks company name
• Token expiration and connection status
• Sandbox or Production environment designation

This information is used only to establish and maintain the authorized QuickBooks connection.

Local Technical Information

MindFrame may create limited local technical records needed to operate, secure, or troubleshoot the Application, including:

• Application version
• Local configuration information
• Synchronization receipts
• Duplicate-prevention records
• Import status
• Validation results
• Error information
• Local audit history
• Data-recovery or backup information

These records are stored locally and are not automatically transmitted to us.

3. Information MindFrame Does Not Intentionally Access

MindFrame is not designed to access or process:

• Bank account credentials
• Credit or debit card numbers
• Payment card security codes
• Bank transaction feeds
• Tax returns
• Payroll records
• Employee compensation records
• Consumer credit information
• Financial statements
• QuickBooks payment-processing data
• Intuit account passwords

MindFrame will not access these categories unless the Application is intentionally modified in the future, the required permissions are obtained, and this Privacy Policy is updated.

4. How Information Is Used

MindFrame uses information to:

• Track and calculate working time
• Maintain time and billing records
• Display reports
• Calculate billable values
• Preserve rate and rounding snapshots
• Allow review before synchronization
• Import QuickBooks customers and services
• Create user-approved QuickBooks TimeActivity records
• Associate records with the correct QuickBooks company
• Separate Sandbox and Production information
• Prevent duplicate submissions
• Maintain revision and audit history
• Export user-requested reports
• Restore application state
• Diagnose operational errors
• Protect the integrity of the billing workflow

QuickBooks information is not used for advertising, marketing profiling, data brokerage, or unrelated purposes.

5. Internal-Use Limitation

MindFrame is used only for the internal operations of JW Business Solutions, LLC.

QuickBooks information is not:

• Sold
• Rented
• Licensed to data brokers
• Used for targeted advertising
• Used to build advertising profiles
• Shared with unrelated businesses
• Made available through a public database
• Used to provide services to unauthorized third parties

No third party is given access to QuickBooks information through MindFrame except as necessary to communicate with Intuit’s authorized QuickBooks services.

6. Local Storage

MindFrame is designed to store its primary operational records locally on the authorized Windows device.

Locally stored information may include:

• Time and billing records
• Customer and service reference information
• Application preferences
• QuickBooks company information
• Sandbox and Production profile information
• Synchronization history
• Duplicate-prevention receipts
• Audit and revision history
• Export settings
• Local diagnostic information

MindFrame does not transmit this information to a separate MindFrame-operated cloud database.

The person or business operating the device is responsible for securing the Windows account, computer, storage drive, backups, and exported files.

7. Credential And Token Security

QuickBooks connection credentials and OAuth tokens are stored only on the authorized Windows device.

Where supported, MindFrame protects sensitive credentials using Windows operating-system-protected secure storage. This is designed to prevent credentials from being stored as readable plain text.

MindFrame is also designed to:

• Keep Sandbox and Production credentials separate
• Keep each QuickBooks company connection separate
• Avoid displaying complete credentials or tokens in the interface
• Avoid including credentials or tokens in ordinary reports
• Avoid writing credentials or QuickBooks data into general application logs
• Restrict synchronization to the authorized environment and company
• Prevent Sandbox entries from being sent to Production
• Prevent Production entries from being sent to Sandbox

No security system can guarantee complete protection against every possible threat.

8. Sandbox And Production Separation

MindFrame maintains separate QuickBooks Sandbox and Production profiles.

Each profile may have its own:

• Credentials
• OAuth tokens
• QuickBooks Realm ID
• Company name
• Customers
• Services
• Classes and related references
• Billing defaults
• Synchronization receipts
• Imported reference data

When Production is configured as the default profile, MindFrame is designed to reopen in Production and display the active live company.

Sandbox information remains available for intentional testing but should not appear in Production customer, service, billing, or report views unless the user deliberately selects a Sandbox-specific view.

9. Information Sent To Intuit

MindFrame communicates with Intuit only as needed to provide the authorized QuickBooks integration.

Information sent to or received from Intuit may include:

• OAuth authorization requests
• OAuth access and refresh tokens
• QuickBooks Realm ID
• QuickBooks company information
• Requests for customers, services, classes, and related references
• User-approved TimeActivity records
• Requests needed to verify or maintain synchronization
• QuickBooks record identifiers

Intuit processes this information under its own agreements, terms, and privacy practices.

MindFrame is independently developed and is not sponsored, endorsed, or operated by Intuit.

10. Information Sharing

We do not sell or rent information processed through MindFrame.

Information may be disclosed only:

• To Intuit as required to provide the authorized QuickBooks integration
• To the authorized business owner or authorized personnel operating MindFrame
• When the user intentionally exports or shares a report
• When required by law, court order, subpoena, or valid government request
• When reasonably necessary to investigate fraud, unauthorized access, or a security incident
• To a technical professional specifically authorized by the business to troubleshoot the Application

A technical professional should receive only the minimum information necessary to provide assistance. Credentials and OAuth tokens should not be shared for routine support.

11. Reports And Exports

MindFrame may allow the user to export time, billing, audit, or reconciliation information.

Exported files may contain:

• Customer names
• Service descriptions
• Time records
• Billing rates and values
• Notes
• QuickBooks record identifiers
• Environment and company information
• Revision or void information

Exported files are stored outside MindFrame and may no longer be protected by MindFrame’s internal controls.

The user is responsible for securing exported files, restricting access, maintaining appropriate backups, and deleting exports when they are no longer needed.

12. Data Accuracy And Accounting Records

MindFrame allows the user to review time and billing records before they are submitted to QuickBooks.

After a TimeActivity record is submitted, QuickBooks should be treated as the authoritative source for the QuickBooks record.

Changes made directly in QuickBooks may not automatically update the corresponding local MindFrame record.

The user is responsible for:

• Reviewing entries before submission
• Confirming the active QuickBooks company
• Confirming the active Sandbox or Production environment
• Verifying submitted records in QuickBooks
• Reconciling differences between MindFrame and QuickBooks
• Correcting accounting records when necessary

13. Data Retention

MindFrame information remains stored locally until it is:

• Removed through an available MindFrame function
• Deleted from the local MindFrame application-data location
• Removed during a device reset or storage replacement
• Deleted by an authorized user or administrator
• Removed under an applicable business record-retention policy

Uninstalling MindFrame may not automatically delete all locally stored application data.

Disconnecting QuickBooks prevents future authorized access but does not automatically delete:

• Local time or billing records
• Previously imported reference information
• Synchronization receipts
• Audit records
• Information already submitted to QuickBooks
• Records retained independently by Intuit

Business, accounting, tax, contractual, or legal requirements may require certain records to be retained.

14. Data Removal And Control

The authorized user may:

• Choose whether to connect QuickBooks
• Use Sandbox without connecting a live company
• Select the QuickBooks company to authorize
• Disconnect a QuickBooks connection
• Review records before synchronization
• Choose which eligible records to submit
• Export applicable reports
• Void eligible local records while preserving an audit trail
• Remove local application data when it is no longer required
• Uninstall MindFrame

Removing local MindFrame data does not delete records already submitted to QuickBooks.

Deleting a record in QuickBooks does not necessarily delete the corresponding local MindFrame audit record.

15. Backups

The user is responsible for maintaining appropriate backups of:

• Local MindFrame records
• Required accounting information
• Exported reports
• Business documentation
• Information needed for tax, audit, or legal purposes

Backups containing QuickBooks or client information should be stored securely and made available only to authorized individuals.

16. Third-Party Media And Websites

MindFrame may allow the user to open or play content from third-party media services or websites.

When third-party content is used, the third-party provider may receive information such as:

• Internet Protocol address
• Browser or device information
• Media requests
• Account information when the user signs in to that third-party service
• Usage information governed by that provider’s privacy policy

MindFrame does not control the privacy practices of third-party websites or media services.

The user should review the applicable third-party terms and privacy policies before using those services.

17. No Advertising Or Analytics Tracking

MindFrame does not use advertising networks, data-broker integrations, or cross-application advertising trackers.

MindFrame does not create advertising profiles from QuickBooks information.

MindFrame does not automatically send local billing records to an analytics provider.

18. Security Responsibilities

We use reasonable safeguards appropriate for a private desktop application, including:

• Local storage of operational records
• Windows-protected storage for sensitive connection information
• Separate Sandbox and Production profiles
• QuickBooks company-specific identifiers
• Manual review before Production synchronization
• Duplicate-prevention controls
• Environment and company validation
• Audit and revision records
• Restrictions against cross-environment synchronization

The user is also responsible for:

• Protecting the Windows login
• Using device encryption where appropriate
• Maintaining current Windows security updates
• Maintaining antivirus and security protections
• Restricting physical access to the computer
• Protecting backups and exported reports
• Avoiding the sharing of credentials
• Disconnecting unauthorized or obsolete QuickBooks connections

19. Security Incidents

If we become aware that MindFrame credentials or locally stored QuickBooks information may have been exposed, we may take reasonable steps such as:

• Disabling or disconnecting the affected QuickBooks profile
• Revoking or replacing credentials
• Requiring renewed QuickBooks authorization
• Reviewing local records and logs
• Updating the Application
• Notifying affected authorized users
• Complying with applicable legal obligations

20. Children’s Privacy

MindFrame is intended solely for internal business use.

It is not directed to children under 13, and it is not designed to collect personal information from children.

21. International Use

MindFrame is intended primarily for use by JW Business Solutions, LLC in the United States.

If the Application is used from another jurisdiction, the authorized user is responsible for determining whether additional privacy, data-transfer, employment, or recordkeeping requirements apply.

22. Changes To This Privacy Policy

We may update this Privacy Policy to reflect changes to:

• MindFrame features
• QuickBooks integration
• Data-handling practices
• Security measures
• Internal business operations
• Intuit requirements
• Applicable law

The updated version will be posted on this page with a revised effective date.
